Privacy Policy
1. Introduction
Probix is an AI interview intelligence platform operated by Focovi LLC. This policy describes how we collect, use, and protect information when hiring organizations use our platform and when candidates participate in voice interviews.

2. What data we collect
From hiring organizations:
- Account information (name, email, organization name)
- Job descriptions and competency plans
- API usage logs
From candidates (submitted by hiring organizations):
- Name, email address, and phone number
- Voice interview transcript and audio recording - recorded only with the candidate's explicit consent before the session begins.
- Competency evaluation scores and evidence briefs
- Device and browser metadata for session management only
We do not collect: video, biometric data, or salary history. Audio recordings are captured only with explicit candidate consent and are automatically deleted after 90 days.
3. How we use candidate data
Candidate data is used solely to:
- Conduct the voice interview session
- Generate competency scores and evidence briefs
- Deliver evaluation results to the hiring organization
- Detect fraud signals based on behavioral patterns only - not biometric data
We do not use candidate data to train AI models. We do not sell candidate data to any third party, ever.
4. SMS communications
Candidates receive SMS messages from Probix on behalf of hiring organizations. These messages include a single interview invitation, up to two expiration reminders, and a submission confirmation. SMS is sent via Twilio.
Probix operates two intake modes. In direct-to-job mode, the hiring organization submits a candidate's information to Probix via API from their applicant tracking system, certifying that the candidate applied for a specific role and consented to employer communications including SMS during the application process. In talent pool mode, a recruiter adds a candidate directly within the Probix platform, certifying that the candidate has provided their mobile number and consented to be contacted in connection with employment opportunities.
In both cases, Probix only sends SMS to candidates whose information has been submitted or added by a verified hiring organization or recruiter. Candidates may reply STOP at any time to opt out and will receive no further messages. Message and data rates may apply. Phone numbers are never sold or shared with third parties.
5. Data retention
- Interview transcripts: retained for 90 days after completion, then permanently deleted.
- Evidence briefs: retained for the duration of the hiring organization's account.
- Candidate contact data: deleted within 30 days of account termination.
- Interview recordings: retained for 90 days after the interview, then permanently deleted from storage. Candidates may request early deletion by emailing privacy@probix.app.
6. Sub-processors
We use the following third-party services to operate Probix:

7. Your rights
Under GDPR, candidates have the right to:
- Access the data we hold about you
- Request rectification of inaccurate data
- Request erasure ("right to be forgotten")
- Request data portability
- Request restriction of processing
- Object to processing
Under CCPA, candidates have the right to:
- Know what personal information we collect and how it is used
- Request deletion of personal information
- Opt out of the sale of personal information - we do not sell candidate data

8. AI disclosure
Probix uses automated AI analysis as part of the candidate evaluation process. All AI-generated evaluations are reviewed by a human hiring manager before any hiring decision is made. Probix does not make autonomous hiring decisions.
9. Children
Probix is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.
